CANCELLATION POLICIES

Please read the policies below carefully regarding cancellations of participant registration and on-campus lodging (if applicable).  Contact SENCER with any questions.

REGISTRATION/GENERAL SSI PARTICIPATION POLICY

Any person listed on an application whose plans have changed must notify SENCER of their cancellation immediately.  In the case of teams, the team leader is ultimately responsible for notifying SENCER.

In general, substitutions for a cancelled team member may be made at any time.  However, SENCER must be notified before the new person completes online registration.

The cancellation timeline is based on when we have to notify vendors of final counts, and therefore are not flexible.

Cancellation without a substitution: All Participants except Students

                            Before May 31               No penalty

                            June 1 – June 10           $100

                            June 11 – June 30         $250

                            July 1 – Institute           $400

Cancellation without a substitution: Graduate or Undergraduate Students

                            Before May 31               No penalty

                            June 1 – June 10           $100

                            June 11 – June 30         $250

                            July 1 – Institute           $250

LODGING POLICY

Following confirmation of your request for on-campus lodging, you are responsible for notifying SENCER immediately of any change or cancellation.

Cancellation of an entire reservation (all people in a Lodging Request)

                            Before June 30              No penalty

                            July 1 – 14                     Cost of one night (total)

                            July 15 – Institute          Full cost

Cancellation of one person in a reservation, no substitution

                            Any time                         Full cost due*

* Costs are based on the rental of the room(s), so if one person in your suite cancels, you are still responsible for the cost of your original confirmed Lodging Request.
